Privacy Notice for Business Contacts
This notice explains how we handle the professional contact details of people we approach about a possible business relationship. It is provided under Articles 13 and 14 of the General Data Protection Regulation (GDPR).
Who is responsible for your data
The controller is Energy Logistic Srl, a company registered in Bucharest, Romania (registration RO 23574576). eView Software is the brand under which it offers its services. Its registered office is recorded in the Romanian Trade Register and we provide it on request.
Contact for any privacy matter: privacy@eview-software.com.
Why you are reading this
You probably received an email from us. We contact people in a professional capacity when we believe the software services we provide could be relevant to the organisation they work for. We do not contact people in a private capacity.
What data we hold
Only professional information: your name, work email address, job title or role, employer, the country and industry of your employer, the language we expect you to prefer, the address of your public professional profile, and, where relevant, the public job posting or procurement notice that led us to your organisation. If we exchange emails or meet, we keep that correspondence and a record of the meeting. If you ask us not to contact you, we keep your email address on a suppression list.
We do not collect or infer any special category of data.
Where we obtained it
We did not collect this data from you directly. It comes from:
- TED, the European Union’s public procurement portal (published contract notices);
- LinkedIn, publicly visible job postings and company pages;
- GitHub, publicly visible repositories and organisation pages;
- public job boards and applicant-tracking feeds that publish vacancies directly from employers (for example Arbeitnow), for data about your organisation (a vacancy), but contact details still come only from the business contact providers listed below;
- EU and national public funding databases that publish grant and funding results (for example CORDIS and the EIC), for data about your organisation (a grant), but contact details still come only from the business contact providers listed below;
- public procurement portals of EU member states beyond TED (for example TenderNed, BOAMP and SEAP), for data about your organisation (a contract award), but contact details still come only from the business contact providers listed below;
- news databases that index public press coverage of organisations (for example GDELT), for data about your organisation (a news event), but contact details still come only from the business contact providers listed below;
- Prospeo and Enrich Layer, business contact data providers, from which we obtain professional email addresses and professional profile details;
- the public website of your organisation.
Our Data Sources page links each public source named above.
The email you received tells you this in short form. If you want to know which of these sources applies to you, ask and we will tell you.
Why we process it, and on what legal basis
We process your data to assess whether our services could be relevant to your organisation, to contact you about it, and to follow up a limited number of times. The legal basis is our legitimate interest in developing business relationships with other companies (Article 6(1)(f) GDPR). We have weighed that interest against yours: we use only professional data that is public or sourced from a business data provider, we contact you at work about a work matter, we send at most three messages without a reply, and every message lets you stop us with a single word.
We keep a suppression list so that an objection is honoured permanently. The basis is our legal obligation to respect your objection and our legitimate interest in being able to demonstrate it.
Automated processing
We use software, including AI language models, to research organisations and to help draft messages. We take no decision about you by automated means that produces a legal effect or similarly significant effect.
Who receives your data
We do not sell or share your data for anyone else’s marketing. It is processed on our behalf by:
- Google (Google Workspace) - email;
- Amazon Web Services - AI model inference, EU region (Stockholm) with global routing for some models, and encrypted backups in the EU (Frankfurt);
- Prospeo and Enrich Layer - contact data;
- FullEnrich - another business contact data provider, used to confirm a contact;
- Bouncer (EU) - verification that an email address can receive mail;
- Google (Google Postmaster Tools) - aggregate sending-reputation statistics, with no individual data;
- Discord - internal workflow notifications to our own staff;
- Google (Gemini API) - web research on organisations;
- xAI - research on organisations from public posts.
Our own systems run on a server we operate in the European Union.
Transfers outside the European Economic Area
Some of these providers are based in, or may process data in, the United States or other countries outside the EEA. Where that happens, the transfer is covered by the European Commission’s Standard Contractual Clauses or by the provider’s certification under the EU-US Data Privacy Framework. You can ask us for a copy of the relevant safeguards.
How long we keep it
- If you never reply: we delete your contact profile (your name, role, employer and the research we hold about your organisation) within 12 months of collecting it.
- If we correspond or work together: for the duration of that relationship and 3 years after the last exchange.
- If you object: we delete your contact profile at once. In every case we keep a minimal record of our contact with you (your email address, what we sent and when) and, if you objected, your address on a suppression list. We keep these for as long as we do any prospecting, solely so that we never contact you again and can show what we sent.
Your rights
You can, at any time and at no cost:
- object to this processing - because it is direct marketing, your objection is absolute and we stop without asking for a reason;
- ask for access to the data we hold about you and for its source;
- ask us to correct or erase it, or to restrict its processing.
The fastest way to object is to reply to any of our emails with a single word. You can also write to the privacy contact above. We answer within one month.
You have the right to lodge a complaint with a supervisory authority. Ours is the Romanian authority, ANSPDCP (Autoritatea Națională de Supraveghere a Prelucrării Datelor cu Caracter Personal), www.dataprotection.ro. You may instead complain to the authority of the country where you live or work.
You are under no obligation
You have no statutory or contractual obligation to provide data to us, and nothing happens if you ignore or decline our message.
Changes
We will publish any change to this notice on this page with a new date.
2026-09-26: we added public job boards, public funding databases, public procurement portals beyond TED and news databases to the sources, and FullEnrich, Bouncer and Google Postmaster Tools to the providers.
If you reached this page as a visitor to this website rather than as someone we contacted, the notice that covers you is our Website Privacy Notice.
